Privacy policy

This page explains what personal information Supreme Roofing Stroud collects when you get in touch, why we hold it, who else sees it and how you can ask us to correct or remove it.

Supreme Roofing Stroud is a roofing contractor serving Stroud and the surrounding Gloucestershire towns. We work from site visits and from our phones and inboxes. We have no public premises, so there is no shop or office to visit and no postal address to publish. You can reach us by email, on the phone at 01453 933613, over WhatsApp, or with the enquiry form on this site. For data protection law, Supreme Roofing Stroud is the controller of the personal information described on this page.

We collect only what we need to answer an enquiry, arrange a survey and write your quote. We do not sell personal information, and we do not use it to profile you.

What we collect and where it comes from

The details we hold come from you, through one of four routes.

  • The enquiry form. Your name, phone number, email address, the property address or postcode, and whatever you tell us about the roof.
  • WhatsApp. Your phone number, the name on your profile, your messages and any photographs of the roof you choose to send.
  • Phone calls. Your number and a note of what you tell us.
  • Email. Your email address, your message and any attachments.

After a survey we also hold our own photographs from the roof visit, our notes and the written quote. Those belong to the job record, and they are the reason a guarantee claim can be checked later.

How the enquiry form handles your details

The form on this site is a third-party embed. When you press send, what you typed goes to a customer relationship management service that stores enquiries on our behalf and passes them to us. That provider acts as a processor: it handles your details under our instructions and for our purposes only.

The form provider may set its own technical cookies or record connection details so the form works. The cookie policy says what our own site does and does not set. If you would rather not use the form, phone, message or email us instead and we will record whatever you tell us ourselves.

Why we use your information

We use your details for four things only.

  1. To reply to your enquiry and agree a survey date.
  2. To prepare the written quote and to keep the photographs from the survey with it.
  3. To carry out and invoice the work, and to deal with any claim under the written workmanship guarantee or any complaint.
  4. To meet legal and accounting duties, such as keeping invoices.

Our legal basis is mostly that you asked us for a quote or a job, which is a step taken at your request before a contract, then the contract itself. Where the law obliges us to keep a record, that obligation is the basis. If we ever wanted to send you anything promotional, we would ask first.

Who else sees it

We share personal information only where a job needs it.

  • The enquiry form and customer records provider, which stores the form enquiries.
  • The messaging service you chose, if you use WhatsApp, which holds the conversation under its own terms.
  • Our email provider and our accountant, for ordinary business administration.
  • Your local council or a registered building control approver, where we handle a Building Regulations notification for notifiable work. That needs the property address and a description of the work.
  • Subcontractors and suppliers, such as a scaffolder, who need an address and access details to do the job.

We do not pass your details to marketing lists or data brokers.

How long we keep it

Enquiries that never become a job are kept only for as long as is reasonable to follow them up, then deleted. Records of completed work, including survey photographs, the quote and the invoice, are kept for the length of the 10-year workmanship guarantee so a claim can be checked against what was done. Accounting records are kept for as long as tax law requires. When a retention period ends we delete or anonymise the record.

Your rights

You can ask us to show you what we hold about you, to correct anything wrong, to delete it where we have no duty to keep it, to restrict how we use it, or to hand a copy to you or another business. You can also object to a particular use. Write to us at the email address on the contact page or ring 01453 933613. The law gives us one month to respond, and there is normally no charge; a reasonable fee is allowed only for a request that is manifestly unfounded or excessive, or for further copies.

If you think we have mishandled your information, please tell us first so we can put it right. The law requires us to acknowledge a data protection complaint within 30 days of receiving it. You may also complain to the Information Commissioner's Office through ico.org.uk. Our own steps for any other kind of complaint are on the complaints page.

Keeping your details safe

Records sit in password-protected accounts and on devices that lock. Survey photographs are stored with the job, not on public pages. No system is perfectly secure, so if you would rather not send something sensitive by email, tell us and we will agree another way.

Changes to this policy

If how we handle information changes, we will update this page.

Treat this privacy policy as a draft prepared for a small firm, and have a solicitor check it before you rely on it.
